Our sevices

Planning an event can get pretty complicated, but don’t worry — our team is here to help make sure nothing gets overlooked.

Before the Event:

We’ll work with you to shape the event’s vision and strategy, making sure it fits your goals. We’ll handle the venue research, give you advice based on your needs, and take care of all the venue details like contracts, logistics, and facilities.

We’ll also sort out the tech side — sound, lighting, video, and stage setups — plus take care of health and safety with risk assessments and sustainability practices. Our team will keep in touch with contributors, manage transport and logistics, and you’ll have a dedicated Project Coordinator to keep things on track. We’ll even manage the volunteers, including referencing and DBS checks.

During the Event:

On the day, we’ll make sure the venue is all set for your delegates, and your Project Coordinator will work closely with venue staff and our team to keep everything running smoothly. We’ll manage contributors, volunteers, and handle all the technical and production stuff, including hybrid event setups.

We’ve got the communications side covered, too, along with health and safety briefings, and you’ll have an experienced event team ready to handle any issues that pop up.

Capture every moment of your event! From seminars to keynote speeches, we handle all recording, editing, and distribution across various formats. With 40 years of experience at top UK venues, Essential Event Management offers equipment, editing, mastering, and duplication for both physical and digital media, reaching a global audience.

Before the Event:

We’ll create a recording schedule, handle all artwork and branding, choose the right formats, and gather any needed visuals.

During the Event:

We provide recording equipment, manage technical needs, and offer onsite editing. Media can be duplicated on CDs, DVDs, or USBs, ready for take-home or post-event delivery.

We’ll handle all your pre- and post-event communication, plus set up a custom online registration system. From payments to tracking data, we make everything easy. A good ticketing system gives your delegates a great start and helps you gather useful info throughout the event. We’ll work with your team to create the perfect ticketing system that fits your budget.

Before the Event:

You’ll have a dedicated Project Coordinator and a secure, easy-to-use ticketing site. We offer options for individual or group bookings, online payments, and personal delegate accounts. You’ll also get branded event info, e-tickets with bar/QR codes, and reports to track bookings. We can help with registration devices too.

During the Event:

Our Project Manager will help with setup and testing. We offer a custom app for easy delegate check-ins, in-venue ticket sales, and live access to delegate data. Everything works seamlessly with your event management.

Great communication, easy check-ins, event apps, live polling, Q&A, gamification, and networking make for an awesome delegate experience. We work with you to ensure everything runs smoothly from start to finish, complementing our e-ticketing services.

Before the Event:

We handle transport, accommodation, catering, and session choices. Your delegates get e-tickets with QR codes for easy check-in and a branded Event App. We also manage registration and delegate ID systems.

During the Event:

We set up registration and check-ins, with a friendly team to assist delegates. You’ll get real-time data, live polling, Q&A, and gamification features. We also handle notifications and use QR codes for networking and lead management.

We handle all aspects of event safety with thorough risk assessments and planning.

We make sure you can deliver a great guest experience while keeping everyone safe. Our team finds the best safety solutions for any event setting, ensuring your guests can fully enjoy the event. We’ve got experience with a wide range of events, from exhibitions to open-air gatherings.

Before the Event:

We provide safety advice, risk assessments, and plans. We also set up crisis communication, safeguarding policies, and design safe spaces with crowd management. We liaise with local authorities, manage CDM sites, check contractor safety, and handle safety documents and team briefings.

During the Event:

We set up safety signage, provide on-site assessments and training, and have a dedicated safety manager. We manage safety documents, communication systems, toolbox talks, and First Aid.

We handle everything from layout and planning to online registration, ensuring your exhibition runs smoothly. With our experience, we’ll make your event a success and can even discuss virtual options if you’re interested.

Before the Event:

During the Event:

A dedicated Exhibition Manager will be on-site to oversee setup, lighting, and power. We ensure a smooth setup and pack-down, manage the venue, and handle lead management and networking.

Before the Event:

We’ll visit the site, manage venue details, and design a custom technical setup, including staging. We handle the budget, crew, equipment hire, and ensure everything meets health and safety standards.

During the Event:

We manage tech setup and operation, coordinate with artists and contributors, and capture all event footage. We also handle presentations, social media, live polling, and delegate engagement.
